We Are Hiring: Accounts Payable/Accounts Receivable Assistant

Position Overview

The AP/AR Assistant will support the Finance team in managing day-to-day accounts payable and accounts receivable operations, ensuring accurate, timely, and compliant processing of all financial transactions. This role is ideal for someone with a basic accounting background who is organized, detail-oriented, and eager to grow in nonprofit finance operations.

Position Type: Full-time

Location: On-site | Bellevue, WA

Salary: $50000-$53000

Key Responsibilities

Accounts Payable (AP)

• Review, verify, and process vendor invoices and payment requests.

• Record bills and payments in accounting software (e.g., QuickBooks).

• Ensure approvals, proper documentation, and compliance with internal policies.

• Reconcile vendor statements bridging the gap between initial estimates and final actuals and resolve discrepancies.

• Assist in month-end closing of AP accounts.

Accounts Receivable (AR)

• Prepare and send invoices to donors, partners, and clients.

• Record receipts and track payments in accounting system.

• Reconcile donor contributions and client accounts.

• Follow up on overdue payments and coordinate with relevant teams.

General Accounting Support

• Maintain accurate and organized accounting records.

• Assist with basic reporting for Finance Manager.

• Support audits by providing required documents and explanations.

• Identify errors or irregularities and propose corrective actions.

Qualifications & Skills

• Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience).

• 1–3 years of experience in AP/AR or accounting operations.

• Familiarity with accounting software (QuickBooks experience preferred).

• Strong attention to detail and organizational skills.

• Good understanding of accounting principles, especially AP/AR processes.

• Strong communication skills and professional demeanor.

• Ability to handle sensitive financial information confidentially.

Preferred Qualifications

• Familiarity with gift processing and donor acknowledgment procedures.

• Understanding of grant compliance and reporting to funders.
